AI in Accounting: what works, what doesn't, and what it costs (October 2026)

In 2026, AI in accounting is most useful as an assistant that an accountant checks. Field data show accountants using generative AI supporting more clients and closing the books faster, and firms use it for administrative drafts, reconciliations and anomaly detection. Accuracy is the limit: ChatGPT answered fewer than half of accounting exam questions fully correctly, and in a 2025 benchmark no AI agent scored above 50% on financial-research tasks. Tax preparers also face legal duties around client data. Start with transaction categorization and document capture, review every output, and keep client return data out of tools that lack a consent and security review.

State of AI in Accounting · October 2026

As of October 2026, AI is ready for transaction categorization and faster closes under accountant review, still early for audit drafting and earnings analysis, and not ready to answer technical questions unchecked, do autonomous research, or handle client return data.

Evidence says avoid or add safeguards

What AI can reliably do in Accounting today

  1. 1

Proven Categorize transactions and speed up month-end close, with the accountant reviewing and overriding errors.

    Evidence

Choi & Xie, Journal of Accounting Research 2026 (SSRN 2025): 277 accountants using generative AI supported 55% more clients, shifted 8.5% of weekly hours to higher-value work, raised ledger detail 12% and closed monthly books 7.5 days faster; accountants still override errors. Source ↗

  2. 2

Early Draft routine audit and finance documents, such as memos, presentations and reconciliations, for staff review.

    Evidence

PCAOB staff spotlight, July 2024: audit firms said staff use generative AI for administrative documents and first drafts of memos; preparers use it for reconciliations; every firm interviewed stressed human review. Outreach covered mostly large firms. Source ↗

  3. 3

Early Flag unusual transactions and read contracts and leases during audits with machine learning, OCR and text analysis.

    Evidence

International Journal of Accounting Information Systems, 2025: 22 interviews with experienced auditors (2022-2023) found 'simple AI' (machine learning, OCR, NLP) in production for anomaly detection and contract analysis; generative AI was still in pilots. Source ↗

  4. 4

Early Predict the direction of a company's next earnings from its financial statements.

    Evidence

Kim, Muhn & Nikolaev, 2024: GPT-4 with chain-of-thought prompts was right 60.35% of the time versus 52.71% for analysts, across 150,678 firm-years (1968-2021). Statements were anonymized and the model saw no narrative context. Research result, not a product test. Source ↗

  5. 5

Early Answer tax-law questions when given the relevant statutes and examples, though not at expert level.

    Evidence

Nay et al., Stanford CodeX, 2023: accuracy rose with each newer GPT model and with retrieved legal text and few-shot examples; the authors concluded the models were not yet at expert tax-lawyer level. Source ↗

Receipts and bank feeds arrive, AI categorizes and drafts entries, and the accountant reviews and closes the books.

What it can't do, or where the risk is

  1. 1

Can't Answer accounting exam-style questions as reliably as students.

    Evidence

Issues in Accounting Education, 2023: on 28,085 questions from 186 institutions in 14 countries, ChatGPT (early 2023) got about 47% fully correct (56.5% counting partial credit) against a 76.7% student average. Newer models score higher; no equivalent audit of current models exists. Source ↗

  2. 2

Can't Do autonomous financial research reliably, such as answering questions from SEC filings.

    Evidence

Vals AI & Stanford, 2025: 537 expert-written questions on SEC filings; the top model, OpenAI o3, scored 46.8% and no model passed 50%. It cost $3.79 per query versus $25.66 for human experts. Later models may score higher. Source ↗

  3. 3

Can't Replace the auditor's own judgment or the review of AI output.

    Evidence

PCAOB staff spotlight, July 2024: firms flagged hallucinations, data-security exposure and 'black box' auditability limits, and said supervisors must apply the same diligence as for work done without generative AI. Source ↗

  4. 4

Can't Disclose or use tax-return information in an AI tool without the taxpayer's consent (US preparers).

    Evidence

26 CFR 301.7216-1 (with IRC 7216 and 6713): knowing or reckless disclosure or use of return information by a preparer is a misdemeanor (up to $1,000 and one year), plus a civil penalty of $250 per violation up to $10,000 a year. Whether a given AI tool is covered is a legal question. Source ↗

  5. 5

Can't Skip written security controls when client financial data goes to a third-party AI vendor.

    Evidence

FTC guidance on the GLBA Safeguards Rule: tax preparation firms are covered and must oversee service providers, encrypt customer data, use multi-factor authentication, and notify the FTC within 30 days of a breach affecting 500 or more consumers. Source ↗

AI trails students on accounting questions, research agents stay under 50 percent, and client return data needs consent.

Where to start

Small practice or bookkeeper

Turn on AI categorization in your ledger software, review every suggestion for the first month, and track how many you change.

Audit or finance team

Limit generative AI to first drafts and reconciliations, require a named reviewer to sign off, and log which tool and version produced each draft.

Tax preparer

Do not paste client return data into any AI tool until you have checked the consent rules under section 7216 and your written security plan.

Regulation & risk

Laws, rules and official guidance that commonly apply when AI is used in Accounting.

Cost & deployment reality

Verified starting prices for 2 of the tools below: $9 to $25 per month (median $17).

Accounting AI is mostly bundled into ledger software. QuickBooks Online lists $38 a month for Simple Start, $85 for Essentials, $140 for Plus and $340 for Advanced (50% off for the first three months), with AI features such as categorization and anomaly detection included on higher paid tiers. Xero's Early, Growing and Established plans are $27, $59 and $97 a month after the introductory offer, and all include AI-powered Smart Document Capture. A general assistant add-on such as Microsoft 365 Copilot Business is $18 per user per month on an annual term (promotional price to Dec 31, 2026; $21 list).

The cost that vendor pages do not list is review time. In the field study above, accountants stayed actively engaged to override AI errors, and the PCAOB says supervisors must give AI-assisted work the same diligence as other work. Budget for that review before counting savings.

US tax preparers must handle client data under section 7216, with criminal and civil penalties and the FTC Safeguards Rule, which requires vendor oversight, encryption, multi-factor authentication and breach notice. Before connecting any AI tool to client files, get consent where required and confirm the vendor's security terms in writing.

A typical failure pattern is unchecked output. Auditors told the PCAOB that generative AI can produce false or misleading content and is hard to audit, and on exam-style questions ChatGPT was fully correct about 47% of the time against a 76.7% student average in a 2023 study. Fixed review steps, version logs and a named reviewer for each AI-assisted output are the practical safeguard.
