Translate documents with AI in 2026: how far it works, which tools, what it costs
Machine translation is good enough for first drafts and for reading material you will not rely on. At WMT24, Claude 3.5 Sonnet won 9 of 11 language pairs in professional human evaluation, and human references still ranked first in 5. Accuracy falls for less common languages, errors cluster in longer texts, and authorities such as USCIS require a certified translation. Use AI to draft, then have a bilingual reader check anything that matters.
Where AI stands: Translate documents with AI · October 2026
As of October 2026, AI is ready to draft translations between major languages, still early for whole files with layout and for routine Spanish or Chinese texts, and not ready for error-free long documents, rarer languages or certified translations.
- Drafting translations, major languages
Backed by trials or large deployments
- Translating Office and PDF files
- Routine texts in Spanish or Chinese
Promising, limited outcome data
- Error-free long documents
- Rarer languages at Spanish quality
- Certified or official translations
Evidence says avoid or add safeguards
What works today
- 1
Proven Translate between major language pairs at near-human quality in professional evaluation.
Evidence
Findings of WMT24 (Kocmi et al., 2024): 11 language pairs, 8 LLMs and 4 online providers, scored by professional annotators. Claude 3.5 Sonnet was the top system overall (9 pairs), and human references ranked first in 5 pairs. The paper's title says MT is not solved yet. Source ↗
- 2
Early Translate Word, PowerPoint, PDF and Excel files in one step, within plan size limits.
Evidence
DeepL support article: supports Word, PowerPoint, PDF, Excel and more. Word limits run from 5 MB and 100,000 characters on a free account to 100 MB and 1 million characters on DeepL Pro Business. Google Cloud also translates DOCX, PPT and PDF at $0.08 per page. Vendor documents; layout fidelity is not independently tested. Source ↗
- 3
Early Translate short routine texts into Spanish or Chinese at 90% to 97% sentence-level accuracy.
Evidence
BMJ Quality and Safety, 2026. 50 sets (316 sentences) of emergency-department instructions translated by ChatGPT-4 and Google Translate, back-translated by professional translators. Spanish: 97% and 96%; Chinese: 95% and 90%. Authors support use for low-stakes written communication. Source ↗
What doesn't work yet
- 1
Can't Translate longer or detailed texts with no errors.
Evidence
Same BMJ study: at the level of whole instruction sets, 16% (Spanish), 24% (Chinese) and 56% (Russian) of ChatGPT-4 translations had at least one inaccuracy; for Google Translate it was 24%, 56% and 66%. Potential harm was 1% or less per sentence and 6% or less per set. Source ↗
- 2
Can't Match its Spanish quality in less widely used languages.
Evidence
Same BMJ study: sentence accuracy for English to Russian was 89% (ChatGPT-4) and 80% (Google Translate), against 97% and 96% for Spanish. WMT24 also found quality varied widely between systems for English to Icelandic. Source ↗
- 3
Can't Stand in for a certified translation where an authority requires one.
Evidence
8 CFR 103.2(b)(3): any foreign-language document submitted to USCIS needs a full English translation that the translator has certified as complete and accurate, with a certification of competence. Other courts and agencies set their own rules. Source ↗
Where to start
Small business
Translate to read and draft, then have a bilingual colleague check numbers, names and dates before you send anything.
Clinic or school
Use machine translation only for low-stakes written notes, and keep a professional translator or interpreter for consent, dosing and discharge instructions.
Immigration or legal filer
Check the receiving authority's rules first; USCIS needs a certified translation, so use AI only for your own reading draft.

Typical cost
DeepL Individual is EUR 7.49 a month billed annually for 300,000 characters and 3 file translations a month, and Team is EUR 24.99 per user per month for 1 million characters. Google Cloud Translation gives the first 500,000 characters a month free, then $20 per million characters, and translates DOCX, PPT and PDF at $0.08 per page. ChatGPT Plus is $20 a month.
Character and file-count limits matter for long documents more than the monthly fee. Prices were checked in October 2026.

Failure modes
- A dropped negation, number or name changes the meaningIn a 2026 study, 16% to 66% of whole instruction sets had at least one inaccuracy, even when sentence accuracy was 80% to 97%. Have a bilingual reader check numbers, names, dates and negations, and back-translate key sentences.Source
- The file is over the plan's size or character limitDeepL's Word limit is 5 MB and 100,000 characters on a free account, and twelve formats are still in beta. Split long files, check the plan limits first, and inspect the output file before sending it on.Source
- Confidential files are sent to a tool with unclear data termsDeepL's pricing page lists No data training under its paid Individual plan; free tools and other vendors may set different terms. Read the data terms before uploading contracts, HR or medical files, and use a plan that bars training.Source
- Key terms are translated inconsistently across a long documentGlossaries are a paid-plan feature (DeepL Individual includes one), so control over terms depends on the tool and plan. Set a glossary for product names, legal terms and abbreviations, and review a sample from each section.Source
- An authority rejects the translationUSCIS requires a full English translation certified as complete and accurate by the translator. Check the receiving body's translation rules first, and hire a certified translator for filings.Source
