Extract data from invoices and receipts with AI in 2026: how far it works, which tools, what it costs

AI can read invoices and receipts into structured fields. In a 2025 benchmark of eight models, the top scorer got 96.5% of fields right on clean invoices, 92.7% on scanned invoices and 87.5% on scanned receipts. That speeds up data entry, but totals, tax and bank details still need validation. A scanned PDF is not a legal e-invoice in Germany, and AI-made fake receipts are now an expense-fraud problem.

Where AI stands: Extract data from invoices and receipts · October 2026

As of October 2026, AI is ready to read clean invoices into fields for review, still early for scanned receipts and arithmetic fraud checks, and not ready to post without checks, replace a legal e-invoice, or spot fake receipts by eye.

What works today

  1. 1

Proven Read vendor, dates, totals and line items from clean invoices at about 96% field accuracy, and from scanned invoices at about 93%.

    Evidence

Fraunhofer IAIS, arXiv August 2025. Eight multimodal models (GPT-5, Gemini 2.5, Gemma 3) on three public invoice datasets, zero-shot, exact-match scoring. Top model, Gemini 2.5 Pro: 96.50% on clean invoices and 92.71% on scanned invoices. One benchmark, not a deployment study. Source ↗

  2. 2

Early Read photographed or scanned receipts, with about 87% of fields correct for the strongest model tested.

    Evidence

Same Fraunhofer benchmark: Gemini 2.5 Pro scored 87.46% on scanned receipts. Several smaller models scored between 53% and 70%. Sending page images directly beat converting pages to text first (87.46% against 47.00% at most). Source ↗

  3. 3

Early Check a document's arithmetic, which exposes many AI-generated fake receipts.

    Evidence

GPT4o-Receipt benchmark, arXiv March 2026: 1,235 receipt images, five multimodal models and 30 human annotators. The strongest forensic signal was arithmetic errors, which Claude Sonnet 4 and Gemini 2.5 Flash caught better than people did. Detector quality varied widely across models. Source ↗

Invoices and receipts arrive, AI reads the fields, and you check totals before posting.

What doesn't work yet

  1. 1

Can't Make a plain PDF or scan count as a legal e-invoice in Germany.

    Evidence

European Commission eInvoicing page for Germany. B2B e-invoices must follow the EN 16931 structured format (XRechnung, ZUGFeRD or Peppol); a PDF alone does not qualify. All companies had to be able to receive them from 1 January 2025, and issuing becomes mandatory in 2027 and 2028. Source ↗

  2. 2

Can't Reach full field accuracy without a person checking, especially on receipts and bank details.

    Evidence

Fraunhofer IAIS benchmark (August 2025): the top model got 87.46% of receipt fields right, and the authors flag IBANs as a persistent weak spot and noisy scans as harder than clean invoices. Source ↗

  3. 3

Can't Catch AI-generated fake receipts by eye.

    Evidence

GPT4o-Receipt study, March 2026: human annotators saw visual artifacts yet scored a lower detection F1 than Claude Sonnet 4 and Gemini 2.5 Flash. Arithmetic checks, not appearance, were the dominant giveaway. Source ↗

Receipt fields can be wrong, a PDF is not an e-invoice, and fake receipts are easy to make.

Where to start

Small business or bookkeeper

Pilot extraction on one month of invoices, compare every total against the source, and track how many fields you correct.

Finance or accounts payable team

Add automatic checks for totals, tax, IBANs and duplicates, and route every mismatch to a person before posting.

Compliance or tax lead

Check the e-invoicing rules in each country you trade in, and keep the structured original rather than a PDF copy.

Typical cost

AWS Textract Analyze Expense costs $0.01 per page for the first million pages a month in US West (Oregon). Veryfi has a free plan for up to 100 documents a month; Starter has a $500 monthly minimum, with invoices at $0.16 each and receipts at $0.08 each. Nanonets Starter includes $50 in free credits, then $100 a month for 100 credits; it prices a complex AI block at $0.30 per run and says a typical invoice workflow runs 4 to 6 blocks per document.

Per-document cost depends on how many steps a workflow runs, so price a sample batch before committing. Prices were checked in October 2026.

Failure modes

  • Digits misread in totals, tax or bank detailsThe authors of an invoice-extraction benchmark flag IBANs as a persistent weak spot, and the top model got 87.46% of receipt fields right. Validate IBAN checksums and recompute subtotal, tax and total; route any mismatch to a person before posting.Source
  • Text-first pipelines lose accuracyConverting pages to text before extraction cut the top receipt score from 87.46% to 47.00% in the same benchmark. Test image-based extraction against your own text-first pipeline on a sample of real documents.Source
  • Fake or altered receipts get paidHumans were worse than some AI models at detecting AI-generated receipts, and arithmetic errors were the main giveaway. Add automatic arithmetic and duplicate checks, and sample-audit receipts that the system accepts.Source
  • An extracted PDF is treated as the legal invoiceIn Germany a PDF alone does not meet the EN 16931 e-invoice requirement; the structured data file is the invoice. Keep the structured original (XRechnung, ZUGFeRD or Peppol) and check the e-invoicing rules in each country you trade in.Source
  • Per-step pricing makes invoices cost more than expectedNanonets bills each workflow step, and a typical invoice runs 4 to 6 blocks at $0.02 to $0.30 per run. Run a 50-document pilot, multiply by monthly volume, and set a spending cap or alert.Source
